The Employee Journey Without Separate Registers: From Candidate to Self-Service
When a candidate’s CV, onboarding plan, contracts, and employee requests are stored separately, HR has to connect the information manually. PDVS brings these stages of the employee journey together on one platform.
When a candidate’s CV, onboarding plan, employment contracts and subsequent employee requests are stored separately, the HR department has to consolidate the information manually. This involves checking different registers, searching for the latest version of a document and determining whether the responsible person has completed their assigned task.
This fragmentation of information becomes particularly apparent when an employee moves from one stage to another. Information collected during recruitment remains in one place, onboarding tasks are planned elsewhere, while employee data and requests are administered through yet another system. PDVS connects recruitment, onboarding, HR administration and employee self-service in a single platform.
The start of the journey: candidates, CVs and the onboarding plan
The employee journey begins before the employment contract is signed. The HR department needs to manage candidate information and CVs, monitor recruitment progress and prepare to onboard the selected candidate. When this information is kept in email inboxes, separate folders or spreadsheets, maintaining a consistent process becomes more difficult.
In the PDVS recruitment and onboarding module, candidate data and CVs are managed alongside the recruitment process. Once a candidate has been selected, an onboarding plan can be created to specify the tasks that must be completed when they start work. This makes preparing for the employee’s arrival a defined part of the process rather than a separate list of emails.
The onboarding plan can be used to manage tasks related to the employee starting work. The HR department no longer needs to recall every action from scratch each time or check several different lists. Onboarding tasks can also be continued in the PDVS performance management module, which includes onboarding processes and probationary period tasks.
Transition to HR administration
Once an employee starts work, their information becomes part of day-to-day HR administration. The PDVS HR management module is used to manage employee data, the organisational structure and contracts. This allows the HR department to work within a single environment rather than create a new register that is not linked to recruitment.
The organisational structure provides context for the employee’s role: their position within the company and their relationship with their department and manager. This context is important not only for HR records. It is also required for subsequent processes, such as when an employee request must be submitted to the responsible manager for approval.
Managing contracts and other employee data in a single platform reduces the need to duplicate records across multiple files. The HR department can view employee information within the same process in which their onboarding was planned and their work-related requests will subsequently be managed.
Self-service continues the employee journey
After onboarding, recurring employee questions and requests account for a significant part of the HR department’s daily work. Employees submit requests concerning leave, certificates or other administrative needs, while HR specialists have to register these requests, forward them for approval and communicate the decision.
In PDVS employee self-service, employees can submit requests for leave, certificates and other defined matters. Requests are forwarded for approval according to the established process, eliminating the need to search for a decision in an email thread. The system retains information about who made the decision, when it was made and why.
Self-service does not replace HR administration with a separate channel. It becomes a continuation of the same employee journey: from candidate information and the onboarding plan to employee data, contracts and day-to-day requests. For the HR department, this means fewer separate registers and a clearer process.
Explore the employee journey in a demonstration
Every company has different recruitment, onboarding and self-service procedures, so a demonstration provides an opportunity to assess the entire process rather than an individual feature. We will show you how PDVS connects candidate and CV management, the onboarding plan, employee data, the organisational structure, contracts and self-service requests.
Book a PDVS demonstration and see how your company’s employee journey can be managed in a single platform.
