When requests are approved by email, data is kept in Excel registers, and procedures have several final versions, the decision history becomes fragmented. Managers have to search not only for the answer, but also for evidence of who made the decision, when and on what basis.
When the decision history is spread across several locations
Administrative processes often expand gradually. The HR team creates an employee register, department managers approve requests by email, purchasing requirements are collected using a separate form, and procedures are stored in a shared file directory. Each tool serves its purpose, but the overall process remains fragmented.
The problem becomes apparent when the decision-making process needs to be reconstructed. Was the request approved? Which version of the document was valid at the time? Who approved the purchase? Was the equipment assigned to the employee returned? Answers have to be found across several registers, email threads and files whose names do not always indicate which version is current.
This fragmentation of information makes a manager’s work more difficult. Instead of assessing the situation, they must first gather its context: find the request, related documents, approvals and explanations.
Digitising processes separately does not eliminate fragmentation
Replacing a paper request with an electronic form makes one stage of the process digital. However, if the form is not linked to employee data, the approval workflow, documents or other actions, the information remains in separate locations. The same applies to purchasing, asset, working time and document management.
Several different systems may replace Excel files and email, but they do not automatically create a shared decision history. Employee data may be in one system, the request in another, the signed document in a third, and the manager’s comment in an email. To understand the entire process, these fragments still need to be combined manually.
Process standardisation begins not with more tools, but with a clear link between related actions. It must be possible to see what initiated the process, who completed each step and what outcome was approved.
One platform connects related processes
PDVS brings together the employee journey, requests, approvals, employment documents, procedures, purchasing, suppliers, company assets, performance appraisal, working time and attendance on one platform. This enables administrative processes to be managed as an interconnected sequence rather than as a collection of separate registers.
- Employee data, organisational structure and contracts are linked to HR processes.
- Holiday, certificate and other requests follow a defined approval workflow.
- Employment documents and procedures are managed using templates, signing and version control.
- A purchasing requirement can be approved together with supplier and contract information.
- Equipment is registered, assigned to an employee and marked as returned when it is handed back.
Managers do not need to administer every process personally. What matters is that the system provides an overview and allows them to move from an outcome to the actions supporting it. This makes both the final status and its context visible.
What matters most to managers is a traceable decision
Managing information in one system makes it possible to see who made a decision, when and why. If a request has been approved, its workflow can be reviewed. If a document has been amended, its versions are visible. If a purchase has been approved, the decision remains linked to the requirement and other process data.
This approach to internal process management allows managers to rely on a process history recorded in one place rather than on explanations gathered from different sources. It also provides a clearer view of where the process has stalled, whose action is awaited and what information was used to make the decision.
Not every company needs to begin with all processes. The first step is to assess where information is most fragmented and which decision histories most often need to be reconstructed manually.
